Henton Plumbing & Air Conditioning, Inc. respects your privacy. This policy sets out, in plain language, exactly how we handle personal information collected through this website and in the course of providing plumbing, heating and air conditioning services in Manhattan, Kansas.
1. Who we are and what this policy covers
Henton Plumbing & Air Conditioning, Inc. (“Henton Plumbing”, “we”, “us” or “our”) is a plumbing, heating and air conditioning contractor with its principal place of business at 8838 Quail Ln, Manhattan, KS 66502, United States. We are the party responsible for deciding how personal information collected through this website and through our service operations is handled.
This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, how long we keep it, who we share it with, and the choices and rights available to you. It applies to:
- this website and every page on it;
- enquiries you send us by web form, email, telephone or fax;
- information gathered in the course of providing plumbing, heating and cooling services at your property;
- records relating to estimates, invoices, service agreements and warranty claims.
It does not apply to third-party websites we link to. Those operators publish their own policies, and we encourage you to read them before providing information.
2. The information we collect
2.1 Information you give us directly
Most of what we hold is information you provide so that we can help you:
- Identity and contact details — first and last name, postal address, service address where it differs, email address and telephone numbers.
- Service information — the description of the problem you send us, the make, model and age of equipment, access notes, preferred appointment windows, and photographs you choose to send.
- Property information — details relevant to the work such as the age of the building, its heating and cooling configuration, plumbing materials, and previous work carried out.
- Transaction records — estimates, work orders, invoices, payment records and service agreement history. We accept cash and check; we do not process or store card numbers.
- Correspondence — emails, web form submissions, notes of telephone conversations, and feedback or reviews you submit.
2.2 Information collected automatically
When you visit this website, limited technical information is recorded automatically by our web server and, where you have permitted it, by analytics tooling:
- internet protocol (IP) address, in truncated form where analytics are used;
- browser type and version, operating system and device category;
- the pages you visit, the order you visit them in and how long you spend on each;
- the referring website or search engine, where your browser supplies it;
- date and time of access, and general geographic region inferred from IP address at city level.
This information is statistical. We use it to understand which pages are useful and to detect faults and abuse, not to identify individual visitors.
2.3 Information from other sources
Occasionally we receive information about you from a landlord or property manager arranging work on your behalf, from a home warranty company, from a contractor or builder coordinating a project, or from a public review platform where you have posted about our service.
2.4 Information we do not collect
We do not knowingly collect Social Security numbers, driver’s licence numbers, financial account numbers, biometric data, precise geolocation from your device, or information about race, religion, health, sexual orientation, political opinions or trade union membership. Please do not send such information to us. If you do, we will delete it.
3. Why we use your information
We use personal information only where we have a proper basis for doing so. In practice that means one of the following.
| Purpose | Information used | Basis |
|---|---|---|
| Responding to an enquiry or estimate request | Identity, contact, service and property information | Your request; steps toward a contract |
| Scheduling and performing work | Identity, contact, service address, access notes | Performance of our contract with you |
| Invoicing and collecting payment | Identity, contact, transaction records | Contract and legal obligation |
| Warranty, callback and safety follow-up | Service history, equipment details | Contract and legitimate interest in safe work |
| Administering the Yearly Service Agreement | Contact details, equipment records, visit history | Performance of that agreement |
| Keeping tax, licensing and permit records | Transaction and job records | Legal obligation |
| Improving this website | Aggregated technical and usage data | Legitimate interest; consent for non-essential cookies |
| Sending service reminders or offers | Contact details | Your consent, withdrawable at any time |
| Defending or bringing legal claims | Whatever is relevant to the matter | Legitimate interest; legal obligation |
We do not sell personal information, we do not rent or trade contact lists, and we do not use your information for automated decision-making that produces legal or similarly significant effects.
4. Web forms and what happens to a submission
The forms on this website are the main way we collect information online. When you submit one:
- Your browser validates the required fields before anything is sent, so mistakes are caught without a round trip.
- The submission is transmitted to us over an encrypted connection.
- The content reaches our office as an email or a record in our scheduling system and is read by staff during business hours.
- We use the details solely to answer your enquiry, prepare an estimate or schedule a visit.
- If the enquiry does not lead to work, we keep the record for up to twenty-four months in case you contact us again, then delete it.
Forms include a simple hidden field designed to catch automated submissions. It is invisible to people using the site and collects no information about you.
Please do not send sensitive information by form or email
Email is not a secure medium. Never send card numbers, bank details, Social Security numbers or copies of identity documents through a web form or by email. If a payment or document needs to be exchanged, call the office and we will arrange a suitable method.
5. Cookies and similar technologies
This website uses a small number of cookies. Strictly necessary cookies keep the site functioning and are set without consent because the site cannot work properly without them. Analytics and preference cookies are set only if you accept them through the notice shown on your first visit.
The notice offers “Accept all” and “Essential only”, and your choice is recorded in your browser’s local storage so you are not asked repeatedly. You can change your mind at any time by clearing this site’s data in your browser, after which the notice will appear again.
The Cookie Policy lists every cookie, what it does and how long it lasts.
6. Who we share information with
We share personal information only where it is necessary, and only with parties who are obliged to protect it.
- Employees and technicians — those who need your details to schedule, attend and complete the work.
- Suppliers and equipment manufacturers — where a warranty registration or a warranty claim requires your name, address and the equipment serial number.
- Subcontractors — where specialist work such as excavation, electrical work or drywall repair forms part of your project. They receive only what they need for that task.
- Permitting authorities and inspectors — where a municipal permit or inspection is required for the work.
- Professional advisers — accountants, insurers and lawyers, under professional duties of confidence.
- Service providers — our website host, email provider and scheduling software, acting on our instructions.
- Home warranty companies, landlords or insurers — where they are the party arranging or paying for the work.
- Law enforcement or regulators — where we are legally required to disclose, or where disclosure is necessary to protect someone’s safety.
If our business were ever sold or merged, customer records could transfer to the acquiring party as part of that transaction. We would notify affected customers and the acquirer would remain bound by this policy until it published its own.
7. How long we keep information
| Record type | Retention period | Reason |
|---|---|---|
| Enquiries that did not become work | 24 months | Follow-up and context if you contact us again |
| Completed job and service records | 7 years after the last visit | Warranty, liability and service history |
| Invoices and payment records | 7 years | Tax and accounting requirements |
| Service agreement records | Duration of the agreement plus 3 years | Contractual and warranty obligations |
| Permit and inspection documents | 10 years | Building and code requirements |
| Marketing consent records | Until withdrawn, plus 3 years | Evidence that consent was given |
| Website analytics | Up to 26 months, aggregated | Trend analysis |
| Correspondence relating to a dispute | Until resolved, plus the applicable limitation period | Legal claims |
When a retention period ends, records are deleted or securely destroyed. Paper records are shredded; electronic records are deleted from live systems and removed from backups on the ordinary backup rotation.
8. How we protect information
We take reasonable and appropriate measures to protect personal information against loss, misuse, unauthorised access, disclosure, alteration and destruction:
- this website is served over an encrypted HTTPS connection;
- access to customer records is limited to staff who need it for their role;
- office computers and mobile devices used for scheduling are password-protected;
- paper job tickets are returned to the office and stored securely rather than left in vehicles;
- we do not store payment card data in any form;
- staff are instructed on confidentiality as a condition of employment.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any required authority in accordance with applicable law, without undue delay.
9. Your choices and rights
Depending on where you live, you may have some or all of the following rights. We honour these requests for any customer who asks, regardless of whether a particular statute applies.
- Access — ask what personal information we hold about you and receive a copy.
- Correction — ask us to correct information that is inaccurate or incomplete.
- Deletion — ask us to delete information, subject to records we must keep for tax, warranty, safety or legal reasons.
- Restriction and objection — ask us to stop or limit a particular use, including marketing.
- Portability — receive the information you provided to us in a structured, machine-readable format.
- Withdraw consent — where we rely on consent, withdraw it at any time without affecting anything done beforehand.
- Non-discrimination — exercising any of these rights will never affect the price or quality of service you receive.
How to make a request
Write to us at the address below, email [email protected] with “Privacy request” in the subject line, or telephone 785-776-5548 during office hours. We will verify your identity — usually by confirming details already held on your account — and respond within 45 days. If a request is complex we may extend that period once and will tell you why.
An authorised agent may make a request on your behalf with written authorisation that we can verify.
10. Marketing communications
We may send occasional service reminders — for example that a spring air conditioning service is due, or that a service agreement is about to renew — to customers who have asked for them or who hold an active agreement. These are infrequent and relate directly to equipment we have worked on.
Every message includes a way to opt out, and you may also opt out at any time by telephoning the office or replying to any message. Opting out of marketing does not stop necessary operational messages such as appointment confirmations, safety notices or invoices.
11. Children’s privacy
This website is intended for adults arranging services for a property. We do not direct it at children and we do not knowingly collect personal information from anyone under 13 years of age.
If you believe a child has provided us with personal information, contact us and we will delete it promptly.
12. Third-party links and embedded content
This site contains links to external websites, including a social media page and a mapping service used to display our location. Selecting such a link takes you to a site governed by that operator’s policies.
We have no control over the content, security or privacy practices of external sites, and this policy does not apply to them. We suggest reviewing the privacy policy of any site you visit that collects information about you.
13. International visitors
We operate in the United States and serve customers in Kansas. Our website and records are hosted in the United States. If you access this site from outside the United States, be aware that your information will be transferred to, stored in and processed in the United States, where data protection law may differ from that of your own country.
By using this website or contacting us, you understand that your information will be handled as described in this policy.
14. State-specific disclosures
Kansas residents
We comply with Kansas law regarding the protection and disposal of personal information, including the requirement to notify affected individuals of a security breach involving unencrypted personal information that is reasonably likely to cause harm.
California residents
Although we do not ordinarily do business in California, we apply comparable standards to anyone who asks. We do not sell or share personal information as those terms are defined under California law, and we have not done so in the preceding twelve months. Categories of information we collect are set out in section 2; the purposes for collection are set out in section 3; retention is described in section 7; and the rights available to you are described in section 9.
Do Not Track
Some browsers transmit a “Do Not Track” signal. There is no common industry standard for responding to it. This website does not track visitors across other websites, and we set no advertising cookies, so there is nothing for such a signal to disable.
15. Changes to this policy
We review this policy periodically and may update it to reflect changes in our practices, our website, or the law. The date at the top of this page shows when it was last revised.
Material changes will be highlighted on the homepage for a reasonable period. Where a change affects how we use information you have already given us, and the law requires it, we will seek your consent before applying the change to that information. Continued use of the website after an update indicates acceptance of the revised policy.
